EXECUTIVE ASSISTANT TO THE LEAD PASTOR

Job Title: Executive Assistant to the Lead Pastor
FLSA Status: Exempt
Full Time Status: Full Time Position

The Executive Assistant to the Lead Pastor provides high level administrative support and assistance to the office of the Lead Pastor. This person must be trustworthy, caring and be able to keep in confidence the business of the office. This position is responsible for supporting the Lead Pastor by managing his office, and serving as the first point of contact for visitors and guests of the Lead Pastor. This position requires a cheerful, pleasant, and caring Christ-like spirit.

RESPONSIBILITIES:
  • Manage and coordinate the Lead Pastor’s calendar for appointments, meetings, and travel.
  • Provide administrative support to the Lead Pastor (including correspondence, reports, files, etc.)
  • Coordinate and organize daily office activities and operations and direct the workflow within the Lead Pastor’s office, as appropriate to minimize the demands on   the Lead Pastor.
  • Provide support to the Lead Pastor in preparation of worship materials for weekly services and special events.
  • Provide hospitality support, arrange meals, accommodations, and logistics for meetings, events, guests, and programs hosted by the Lead Pastor.
  • Maintain the daily and long-term schedule of activities for the Pastor’s office, including calendar, travel schedule, accommodations, and conferences, and provide back-up materials, special arrangements and transportation related to these activities.
  • Assess and troubleshoot requests, evaluate resources for resolution, and recommend or initiate responsive action. Receive and respond to requests for speaking engagements, telephone inquiries and incoming mail.
  • Manage flow of information so that management receives all pertinent information and recommendations from different perspectives.
  • Sort and distribute incoming mail and other materials. Maintain paper and electronic files in a confidential manner.
  • Monitor and reconcile expenses directly related to the Pastor’s budget.
  • Provide support to the Lead Pastor in managing personal appointments and schedule.
  • Perform confidential tasks and special projects as needed.
  • Other duties as assigned by the Lead Pastor.

EDUCATION, QUALIFICATIONS, CERTIFICATIONS AND LICENSES:
The Executive Assistant to the Pastor position requires the following:
  • College degree in Business or related field is required
  • Five (5) to Seven (7) years’ experience in office administration and support of a key executive
  • Database and computer software systems experience
  • Work experience in a church or non-profit preferred
  • Proficiency in Microsoft Office Suite
  • Excellent customer service, interpersonal, verbal, and written communication skills
  • Embrace and adapt to growth, change, innovation, and creativity
  • Use appropriate judgment in the areas of discretion, sensitivity, and leadership
  • Ability to create positive working relationships with a diverse group of people and volunteers including gender, ethnicity, age, culture, and skill level differences

  • Maintain cooperative, healthy, and motivating relationships with leadership team, colleagues, and volunteers

  • Faithfully give to the ministry of Summit Park Church 10% of your income

  • Requires flexibility for evening and weekend responsibilities (normal work days are Mon-Thur and Sunday; must be available for special events that may fall on a Friday or Saturday)
  • Attend one (1) service in its entirety each Sunday and demonstrate Front Row Leadership by being on time and leading in engagement
